Dear Exhibitors and Artists,

Thank you for your interest in wanting to participate in our Godzillafest 3 Convention.

We are very excited for this year’s convention. As most of you know, we have moved down the hill from JapanTown, and will be holding GodzillaFest 3 at the Holiday Inn Golden Gateway on 1500 Van Ness Avenue.

 

Please check out www.godzillafest.com for more Hotel Information & Hotel Reservations. We will have discounted room rates at this Hotel.

Exhibitor/Artist Set-up will start on Friday, September 18th, 2026 at 5pm to 10:30pm. (If I can squeeze out an earlier time from the hotel, I will let you all know.)

And Set-up will continue on the morning of Saturday, September, 19th at 7am to 10am. The Exhibitor Room will open at 10am. and close at 5pm.  The Exhibitor Room will reopen again on the morning of Sunday, September 20th, 2026 at 10am and will close at 4:30pm. (We might open the Exhibitor Room at 9:30am as an Early Bird Incentive. I will let you know if this happens way before the convention date).

Pricing:

Artist & Small Vendor Spaces: $265 (1 - 6’x 6’ Space which include: 1 - 6’x30” Table with up to 2 Chairs & 2 Vendor Badges)

Exhibitor Spaces: $365 (1 – 8’x 8’ Space which include: 1 - 6’x30” Table with up to 2 Chairs & 2 Vendor Badges). If you need a second 6’x30” Table, please let me know in your Application.

All Spaces are limited, and we won’t have the extra “breathing room”.  So all spaces are exactly as specified. If any wiggle room appears after room set-up, it will be utilized. Also, the Ballroom we are using has low ceilings, so no set-ups, displays, banners, shelves, & etc. over 8 feet tall.

 

The best and most convenient payment method is to scroll to the bottom of this page and look for the Blue Buttons that allow you to choose which Space you are requesting.  It's simple and secure!

Important Notice!

There are two forms below for you to fill out and submit.  One is for the actual Registration, and the other is for the Space you would like to request.

 

Beneath the Space Request Form you will find the "Blue Pay Buttons".  Simply Click on the Blue Button that applies to your space request and the secure checkout will ask for your email address so you can receive a receipt for your payment as you are guided through the easy (and very secure) process. 

The intent of this method is to allow you to return to this special Vendor/Registration page that has been shared with YOU exclusively, to pay later, if you're not quite ready to pay at the time you fill out the Registration and Space Request forms. 

THE BLUE PAY BUTTONS ARE PURPOSELY SEPARATE FROM THE REGISTRATION FORM AND SPACE REQUEST FORM.

EXHIBITOR/ARTIST ROOM RULES

Exhibitor/Artist Room Rules:

You must read and Check each Rule, or you won’t be able to move on to submit the

Exhibitor/Artist Registration Form.

(Please read all of the rules before just checking them off blindly in the form below):

 

Rule A: No Drug Use & No Smoking of any kind (Including Vaping, E Cigarettes and any other paraphernalia of any kind) while inside all of the GodzillaFest Convention Areas or on/in the Hotel premises.                                                                                       Anyone caught doing any of this will be asked to leave the Convention. If you are caught doing this in the Exhibitor Room, or the Panel/Demo rooms, You will forfeit your access to all on site Convention Activities, and no Refunds will be given for making the choice to break this rule. This Rule covers all Convention Staff, Exhibitors, Convention Guests and Attendees. Please do everyone a Big Favor and don’t even think of Breaking this Rule.

Rule B: No Sales of Counterfeit/Knock Off Products:

There are many counterfeit items out there being sold on Amazon, eBay. Wish, Temu, Ali Express, and others online. If any of these items make up the majority of your Inventory, please do not apply to be an Exhibitor at Godzillafest. If you do, and set-up with Counterfeit/Knock Off Products you will be shut down, and expelled from GodzillaFest with no Refunds. There will be no arguments, or apologies after the fact.

 

Rule C: Do Not Encroach/Steal Space from another Exhibitor, or annex any empty space next to your space in the Exhibitors Room. You get the exact space you paid for, no more, no less. If we see you do this, or get a complaint from another Exhibitor about this, you will be warned only once to comply. Any argument, or act of noncompliance will result in Loss of Your Exhibitor Space with no Refund, and expulsion from the GodzillaFest Exhibitor’s Room, and all other convention activities.

 

Rule D: Replica/Cosplay Weapons & Armor

If you intend to sell any types of Replica/Cosplay Weapons & Armor. You will not allow patrons to unsheathe any weapons themselves. You must do this for them. You will not allow patrons to take “practice swings or testing” on the Exhibitor Room floor. You will need to verify the purchaser is of Legal Age (18+ in most States) to purchase Replica Weapons. If a Parent or Legal Guardian purchases any weapon for a minor, said Parent or Legal Guardian must be in complete control of this item the entire time they are in the Convention, & on Hotel property. It is your responsibility as the Seller to inform them of this.

Any, and all Replica Swords, Knives, Misc. Bladed, or Spiked Weapons must be sealed within their sheaths, or packages they are sold in. Any argument, or act of noncompliance will result in Loss of Your Exhibitor Space with no Refund, and expulsion from the GodzillaFest Exhibitor’s Room, and all other convention activities. Staff of GodzillaFest/Bay Area Film Events & the Hotel will be immune to any Liability for any Damage(s) or Injury/Injuries caused by any & all purchased weapons, and will the sole responsibility of the Parent or Legal Guardian/Stated Guardian(s), and possibly the Vendor as well.

Rule E: Exhibitors may not cement, nail, tack, tape or attach any material to any floor, wall, or column. Exhibitors may display a banner, but not over 8’ tall.

 

Rule F: Trash, Empty Boxes, Recyclables, & etc.

Please remove all trash and recyclables each night when the Exhibitor Room has closed down. The Facility should have in room trash & recycle cans for our use, but please do not stuff them with cut down cardboard boxes or other large items. Please store these items back in your vehicle or Hotel room, unless informed otherwise.

 

 

 Rule G: LIABILITY: 

Exhibitor agrees that neither GodzillaFest/Bay Area Film Events LLC nor the Leased Exhibit Facility assumes any responsibility for the protection and safety of the Exhibitor, its representatives, agents, employees, exhibits or property of exhibitors or its representatives. The Signee of this Document/Contract also agrees to, and assumes all responsibility for the protection and safety of the Exhibitor, its representatives, agents, employees, exhibits or property of exhibitors or its representatives, and including all claims, losses, damages, liabilities and expenses, including attorney fees, consultant fees, and court costs, incurred by GodzillaFest/Bay Area Film Events LLC, the Leased Exhibit Facility or other exhibitors in defending against or satisfying or compromising any such claim arising out of any injury to persons or property caused by any act or omission of Exhibitor or its representatives, agents, employees or contractors.

Any guard service, security room, or other protective measures that GodzillaFest/Bay Area Film Events LLC may take, shall be deemed to be purely gratuitous on its part, and GodzillaFest/Bay Area Film Events LLC, & the Holiday Inn. shall have no responsibility for effectiveness or failure of such measures, or for conduct of personnel involved therein.

Exhibitors are encouraged to find their own insurance for the convention. You are not required to do this, but if you choose to get it, you  should have general liability insurance of not less than $1,000,000, covering any and all claims for injuries to persons in or upon the assigned booth space, including all injuries or damages from booths, signs, or other apparatus or equipment now or hereafter erected on such space, and the insurance policies required hereunder shall name GodzillaFest/Bay Area Film Events LLC as an additional insured.                                                                                          

Exhibitors that have chosen to acquire Insurance shall furnish GodzillaFest/Bay Area Film Events LLC with evidence of such insurance coverage upon GodzillaFest/Bay Area Film Events LLC’s request.
